Tenants are people who are actively leasing a property/unit from you. They can have rental agreements created to represent these leases, make rent payments, submit maintenance requests, and have their own portal to access the site.
To start with, navigate to the Tenants page under the People menu.
A tenant can be created either by navigating to the Tenants page and clicking the Create Tenant button, or by converting a prospect into a tenant. The latter has been detailed here, in the Managing Prospects post.
Tenant Accounts
When you create a tenant, only the name fields are required. If you check the Create Account for Tenant checkbox, then email address will also be required.
The Create Account for Tenant checkbox allows you to decide if you want the tenant to have their own account on the platform. If you check this, the tenant will be able to perform actions such as submitting maintenance requests, update banking information, see upcoming payments, and view rental agreement documents. To make the most out of this platform, we suggest you check this option.
The main reason to leave the Create Account for Tenant option un-checked is if your tenant is not technically savvy and may be uncomfortable with using the platform. If you don’t create an account for them, you can still manage everything on your end and the tenant does not receive any notifications from us.
If you chose to create an account for them, the system will send an email invitation to them and ask them to confirm their address. Their status will change from Waiting to Connected once they confirm this. You can resend the confirmation email to them from the Tenants page as well, using the option in the Action column.
Existing Tenants
If the tenant already had an account on the system (accounts are uniquely identified by email address), then an invitation is still sent to them, asking them to confirm the association between your account and theirs.
Tenant details can be edited, up until the point where they have confirmed their account. At this point, the tenant owns their own account, so their details are theirs to edit. There is a field for notes if you’d like to store anything there.
Tenant Verification Reports
If you had run Tenant Verification Report when the tenant was a prospect, access to that Tenant Verification Report will be brought over on to the Tenants page.
