Managing Viewing Requests

The Viewing Requests page helps you keep track of when you are going to show your unit to either a new prospect or an existing tenant.  A viewing request can be created either by you, by navigating to the Viewing Requests page under the Properties menu, or by a prospect who books a viewing slot.  You can learn more about viewing slots here.  In this article, we will cover creating viewing requests yourself and some of the considerations around that.

When you create a new viewing request, you will see the following dialog:

Begin by selecting who this viewing request is for.  This will need to be for a new prospect or existing tenant.  Then, select the property.  If the property is a multi-unit property, you will be able to select the individual unit.  After that, you can schedule a date and time.

Once the viewing request has been saved, you will receive an email notification with the details.  The email will also have a calendar invite, so you can add this to your calendar.  The same information is also sent to the prospect/tenant.  If you change the date or time of the appointment, an email will be sent to both parties, notifying them of the change.  In addition, your calendar appointment will be updated.

If you uncheck the Send Invitation checkbox, the invite will only be sent to you and any existing tenants, not the new prospect.

Existing Tenants

If there is a tenant with an active lease during the time that you’re scheduling this viewing request, they are also notified via an email notification that this viewing will occur.  We consider there to be a tenant in the unit if there is an active rental agreement for the unit that has a start date before and an end date after the date of the viewing request.

The system will not allow you to create a viewing request for less than 24 hours in the future, as that is a legal requirement in most cases.  Also, the existing tenant will be sent an email and can even provide feedback if this is a convenient time or not.  If it is not a convenient time, they have the ability to request a time.  This doesn’t mean you have to abide by this, but it’s just for communication.
